Start with farmers and prices

Open More → Farmers. Add each farmer’s name and phone number; the app assigns a numeric farmer number. Under More → Milk prices, choose cow or buffalo and import your approved rate chart from a file or picture. Review the extracted numbers and confirm the units before activating a chart. Picture recognition runs on your device.

Collect milk

Open Collect and enter the farmer number, litres, fat and SNF. Check the farmer’s name and calculated total before saving. The date and morning/evening session are selected automatically. Cow or buffalo is selected from the fat reading and can be changed manually. Fat and SNF are limited to 9.9%.

Listed chart prices take priority. When a combination is missing, the app can calculate a price from nearby rates, including the blend between 4.7% and 5.5% fat. Check calculated prices against your business’s approved pricing rules. Saved collections retain the rate recorded when they were saved.

Reports, corrections and receipts

Use Dairy overview for totals over your chosen dates and sessions. In Reports → Farmer summary, choose one farmer or all farmers and set the date range. Tap a farmer to see collections, correct a mistake with a recorded reason, or open a receipt. Morning / evening report shows one day’s session records.

Farmer payments

Reports → Farmer payments uses two cycles: the 3rd–18th, and the 19th–2nd of the following month. Choose a date in the period, then tap a farmer in To pay. Review unpaid milk earnings, optionally deduct an advance or supplies balance, and record the payment after you pay the farmer. The app records payments; it does not transfer money.

The Paid and All tabs retain access to previous records. Open a farmer for collection details, payment history and a PDF statement.

Advances, feed and medicines

Open More → Advances, feed & medicines. Enter a farmer number, then choose Give an advance, Give feed or Give medicine. You can enter a supply’s total directly or calculate it from quantity and price. Record repayments separately. Use History & statements to view entries, export records, or record a correction. These features are free.

Sign in and sync

Use the same dairy account on each device. Confirm your email when creating an account. For a forgotten password, choose Forgot password? and Send recovery code, then enter the emailed code and a new password.

In versions with mobile recovery, open More → Account → Recovery mobile number while you still have access. Enter a number you control and your current account password, then verify the SMS code. Later, choose Use my linked mobile number on the sign-in screen to reopen the same account with an SMS code. Farmer contact numbers do not provide account access. Keep your linked number current; contact support if you need help removing it.

Keep the app open with an internet connection. In More → Account, check the sync status or choose Sync now to refresh. Offline collection changes stay on that device until it reconnects. Farmer account entries and payment settlements need an internet connection. If a conflict appears, export the device’s draft before loading the cloud version.

Backups

Export a backup from More → Backup & language and keep it somewhere safe. Core backups restore farmers, collections, rate charts and collection correction history. Farmer account exports are separate: an account-history JSON export is an archive and cannot currently be restored using the core restore screen. Keep both exports if you use advances or supplies.

Delete an account

Export anything you need first. Open More → Account → Delete account, enter your password and confirm. This removes the login and active cloud dairy records. Exported files and copies you shared remain wherever you saved or sent them. If you cannot access your account, contact support for help.

When requesting help

Include your app version, device model and a description of what happened. Do not send passwords, recovery codes or full farmer records. Remove personal details from screenshots.

Farmer passbook

Farmers can open Gill Dairy Passbook to view their own milk collections, account entries and recorded payments. Sign in using the Indian mobile number your dairy owner has enabled and enter the SMS code. Choose English, Punjabi or Hindi from the language menu.

Owners: in the updated dairy app, open More → Farmers, choose the farmer, and open Passbook access. Save their correct phone number first. Enter your dairy name, confirm the recipient, and enable access. Share the passbook link with that farmer. You can turn off access from the same screen.

On iPhone, open the passbook in Safari and choose Share → Add to Home Screen. On Android, open it in Chrome and choose Install app or Add to Home screen. An internet connection is needed to load records. Farmers can select dates, open collection details, and download their records as CSV. They cannot edit records or transfer money through the passbook. If access is unavailable, ask the dairy owner to check the phone number, access setting and cloud sync.

Passbook update notifications

After signing in and opening an enabled farmer passbook, choose Enable notifications and allow notifications on the phone. Alerts cover new milk collections, corrections, advances, feed, medicines, repayments and recorded payments once the dairy’s changes reach the cloud. Alerts open your passbook; names and account amounts stay out of the lock-screen message.

On iPhone or iPad, use iOS/iPadOS 16.4 or later, add the passbook to the Home Screen, and open that installed passbook before enabling alerts. On Android, use a supported browser such as Chrome and allow notifications. Use Send test notification to check that this phone receives alerts. To stop alerts, choose Turn off notifications or change notification permissions in the phone settings. Each phone must enable alerts separately.

If an alert does not arrive, check internet access and notification permissions, open the installed passbook and tap Refresh, then send a test alert. Your dairy owner must keep passbook access enabled and sync new records. Notifications can be delayed by device settings or delivery services; open the passbook to check the latest synced records.
