Privacy policy.

Gill Dairy Collection and Gill Dairy Passbook are operated by Palwinder Singh. They help dairy business owners record milk collections and manage farmer accounts, and let authorized farmers view their own records. The current version is free and does not offer a subscription or in-app purchase.

Information used by the app

Rate-chart pictures

Pictures you select for rate recognition are processed on your device using Apple’s text-recognition technology. The app does not upload those pictures to an AI service or our cloud database. The rate values you review and activate are saved as part of your dairy records and synced to your account.

Why information is used

Information is used to provide your private dairy workspace, calculate collection amounts and farmer balances, sync devices, produce receipts and statements, recover account access and respond to support requests. We do not sell your records. The app does not include advertising, advertising-tracking or third-party analytics SDKs.

Service providers and sharing

Supabase provides authentication and cloud data storage. Resend delivers account emails. If you use mobile recovery or farmer passbook SMS login, Supabase and Twilio Verify process your recovery number, verification requests, SMS delivery information and security logs to send and check one-time codes and prevent abuse. Your mobile carrier delivers the text. Dairy collections and farmer account records are not sent to Twilio as part of this process. Namecheap forwards support emails to our Gmail inbox, provided by Google. Apple provides app distribution and operating-system services. This help website is hosted using OpenAI Sites and its infrastructure providers, which process connection information needed to serve and secure the pages. Each provider processes information needed for its service under its own terms and policies.

When you export or share a receipt, statement or backup, you choose its destination and are responsible for who can access that copy. The app does not request access to your address book or GPS location. Farmer details are entered by the dairy owner.

Optional mobile recovery

You can verify an Indian mobile number you control and link it to your existing email account. A verified SMS code can then provide access to that same account and its synced records. Link the number before losing access to your email. A phone number recorded as a farmer contact does not provide access to the owner's account. Farmer passbook access is a separate, explicitly enabled permission. Keep your recovery number current and protect your SIM and verification codes. You can change the linked number by verifying another number in Account settings, or contact support for help removing it. Email sign-in remains available.

Farmer passbook

The installable farmer passbook uses a verified Indian mobile number and SMS code to sign in. A dairy owner must explicitly enable access to the relevant farmer record. A contact number alone does not grant access. Each farmer can view only the milk collections and financial entries authorized for them, including quantities, quality readings, saved prices, payment status, advances, feed, medicines, repayments, deductions and settlements. The owner's private notes and other farmers' records are not included. A farmer cannot edit dairy records through the passbook.

The owner can revoke access. Changing the farmer's phone number in the owner app turns off the previous link until the owner enables access again. Access changes take effect on the next server check; downloaded copies cannot be recalled. Farmers should contact their dairy owner to correct records. Owners should explain their recordkeeping and sharing to farmers, check the intended recipient's number, and only enable access with an appropriate basis for doing so.

Optional passbook notifications

Farmers can choose Enable notifications in their signed-in passbook and allow alerts on their device. When their dairy syncs a milk collection, correction, account entry or payment, the service can send a generic alert that their passbook was updated. Alerts do not include farmer names, quantities, amounts or private notes on the lock screen. Opening an alert requires a valid signed-in session and current passbook access to view records.

If you enable alerts in the website, we store your browser push subscription, including its delivery endpoint and encryption keys. If you enable alerts in the iPhone app, we store the Apple push delivery token. Both use a random installation identifier, your language choice and the signed-in account/session. Browser alerts travel through the push service used by your browser, such as Apple, Google or Mozilla. Native iPhone alerts travel through Apple Push Notification service. These providers process the delivery token or endpoint and technical information needed to deliver alerts. Private dairy records are not included in alert payloads. Push alerts are separate from SMS verification and are not advertising or tracking.

You can turn alerts off in the passbook or your device settings. Signing out disables alerts on this device and requests removal of its server registration; revoked passbook access and expired or removed sessions prevent new server deliveries. An alert already accepted by the delivery provider may still arrive. Delivery depends on an internet connection, device permissions and the push service. Changes made offline by the dairy owner can trigger an alert only after they sync. Native Android alerts are not enabled in the current version.

Storage and security

Records are stored on your devices and in the cloud for account syncing. Access controls associate cloud records with the signed-in owner. The owner app stores authentication sessions using Apple's Keychain. The native iPhone passbook stores its login session and notification installation credentials in the device Keychain. It does not save farmer records to a persistent offline database. The web passbook stores its login session and language preference in your browser. Its offline cache contains only the application files, not farmer records; an internet connection is required to load records. Sign out on shared phones and protect any CSV files you download. Network requests use HTTPS. No service can guarantee absolute security. Protect your device passcode, account password and exported backups.

Retention and deletion

Dairy records remain associated with your account until you delete them through available app controls or delete your account. Correction history is retained to explain changes. Deleting your account removes the login and active cloud records; provider security logs and backup copies may persist according to provider retention processes or applicable obligations. Exported files and cached copies on other devices are not remotely erased by account deletion.

Your choices and requests

You can review and correct records using the app, export supported records, and delete your account from Account settings. Farmers can sign out of the passbook and request removal of their passbook login or access through support. Removing a passbook login does not automatically erase the dairy owner's business records. For access, correction, deletion or other privacy requests, email support@gilldairyapp.com. We may need to verify your identity and the records concerned before acting. If a farmer record is managed by a dairy owner, we may direct the request to that owner.

International processing and children

Service providers may process information in countries outside your own. Gill Dairy Collection is intended for dairy business owners and farmers and is not directed at children.
